    Name your business

    Enter your business name. This appears on reports and in staff views.

    Choose your business type

    Select from: Restaurant, Cafe, Catering, Cloud kitchen, or Other. This helps FridgeFlow tailor terminology and default units.

    Set your currency

    Choose the currency for cost tracking (e.g. ₱ PHP, $ USD, £ GBP). All purchase prices and waste cost reports will use this.

    Invite your team

    Add your managers and staff by email. You can always do this later from the Staff page.

    Add your first items

    Start adding your kitchen stock. Include purchase prices so waste reports can show you real money values.

Every time you throw out an ingredient or it expires, log it in FridgeFlow. Over time, these logs build into cost reports showing exactly how much money is walking out of your kitchen.

    Tap the Waste item in the left sidebar.

    Tap "+ Log waste event"

    Find the item that was wasted and tap Log waste.

    Choose the reason

    Select: Expired, Thrown away, Contaminated, or Other.

    Enter quantity wasted

    Enter how much was wasted — for example 200g. FridgeFlow calculates the cost based on the purchase price you set for the item.

    Review the report

    The Waste page shows this week's total waste cost, a list of all events, and which items are your biggest problem areas.

For waste cost reports to show money values, items need to have a purchase price set. Add prices when you add items, or edit existing items to add the price.

Log every delivery from your suppliers so you have a clear record of what you've spent, when prices change, and which suppliers you rely on most.

    Go to "Purchases" in the sidebar

    Tap Purchases to see all your purchase orders.

    Tap "+ New order"

    Enter the supplier name, or select from a supplier you've used before.

    Add line items

    For each item in the delivery, add the product name, quantity, unit, and price. You can add as many line items as needed.

  4. 4

    Mark as "Received"

    When the delivery arrives and you've checked the items, tap Mark as received. FridgeFlow will automatically add these items to your inventory.

Save your regular suppliers under Purchases → Suppliers. When you create a new order, just pick the supplier from the list and fill in the quantities — much faster than typing from scratch every time.

Staff management & roles

Invite your team to FridgeFlow and control what each person can see and do. Kitchen staff can update stock and log waste; managers get full access to reports and settings.

    Go to "Staff" in the Business sidebar

    Tap Staff in the navigation.

    Tap "+ Invite team member"

    Enter the team member's email address and choose their role: Manager or Staff.

  3. 3

    Send the invite

    Tap Send invite. They'll receive an email with instructions to create or log in to their FridgeFlow account.

    Change a role

    Tap any staff member's name to open their profile and change their role. Changes take effect immediately.

Business analytics

The Business Analytics page shows broader trends — how your waste costs are changing month by month, which ingredient categories have the highest waste, and your overall kitchen efficiency score.

Common questions

Do my staff need their own FridgeFlow accounts?
Yes — each staff member needs their own FridgeFlow account. They sign up for free and you invite them to your business from the Staff page. The Business plan includes multiple staff users.
Can staff see the cost reports?
No — only Managers and the business Owner can see waste costs, purchase order totals, and business analytics. Staff can only see and update inventory.
What currency can I use?
FridgeFlow supports any currency. When setting up your business, choose your preferred currency symbol and it will be used throughout all reports.
Can I track multiple restaurant locations?
Not yet — each Business account manages one location at a time. Multi-location support is on the roadmap.
